The Faculty of Health and Medical Sciences uses external examiners for external grading. External examiners are appointed by the Ministry of Higher Education and Science. Each study programme has its own body of external examiners headed by a chairmanship.

External examiners’ chairmanship and standards

 

The external examiners’ chairmanship for the Danish study programme in medicine covers the main areas of study and specialisation within the following programmes:

  • Bachelor and Master of Medicine (SDU, AU, AAU, UCPH)
  • Bachelor of Medicine with Industrial Specialisation (AAU)
  • Master of Human Biology (UCPH)
  • Professional Master of Medical Imaging (SDU)

The external examiners’ chairmanship for the study programme in dentistry consists of around 100 external examiners appointed by the Ministry of Higher Education and Science. They cover the main areas of study and specialisation within dentistry. The national, independent chairmanship cooperates closely with the faculties of health and medical sciences at Aarhus University and the University of Copenhagen.

The secretariat of the external examiners’ chairmanship is located at the Faculty of Health at Aarhus University.

The external examiners’ chairmanship for public health and related programmes covers health science programmes at the University of Copenhagen, Aarhus University, Aalborg University, Roskilde University and the University of Southern Denmark.

Procedures, templates for remuneration etc. will differ from university to university. The Administration will contact and inform chairs and vice chairs of relevant procedures, but chairs and vice chairs are also welcome to contact the administration.

 

Practical information for external examiners

 

Exams and grading at SUND are conducted at Digital Exam. Access to the platform requires a UCPH username and password.

If you do not have a UCPH username and password, please go to “Hjælp til login, adgangskode og KU-Brugernavn” at KUnet or contact IT Support at +45 35 32 32 32.

Please note: Digital Exam is compatible with Chrome, Edge and Firefox.

 

 

Once you have entered the grades in Digital Exam, you will receive your fee.

Fees are settled once a month and paid out in the middle of the month. Therefore, it may take up to 1.5 months before your fee is available in your NemKonto.
The exam number (CensorIT), name of the exam or name of the student will be evident from your payslip.

As of 1 October 2023, the hourly rate is DKK 480,37 excluding holiday pay. A fixed number of hours has been allotted to each exam, and your fee will depend on this norm.

 

 

If you travel to the place of examination, you must choose the most climate-friendly means of transportation (bus, train, ferry or car instead of air travel) if the travel time and costs can be kept at a reasonable level. If you choose to travel by air, the costs must correspond to that of a train ticket covering the same distance.

If your journey is limited to Zealand, you must travel by train and choose a standard-class ticket. If you are travelling to other parts of the country, you can choose to travel on first class if you spend the most of the journey preparing/working.

Taxi expenses are reimbursed in rare cases only, where public transportation does not provide a reasonable alternative.

For trips to or from Copenhagen Airport, only bus, train and metro tickets are reimbursed.

Travel by private car/motorcycle: 
You are entitled to DKK 2,23 per kilometre (2024 rate). Please state the registration number of the vehicle, as the University is obliged to inform SKAT hereof:
You must be registered as the owner/user of the vehicle in question. You are entitled to use your partner’s vehicle if you live together and/or have joint finances.

Journeys of less than 24 hours

In addition to travel expenses, the University reimburses meal expenses in connection with journeys of less than 24 hours.

Journeys exceeding 24 hours

For journeys exceeding 24 hours, you will receive a fixed hourly/daily allowance[1] to cover additional expenses[2] , including:

  • Alle meals.
  • Local transportation to your destination (though not to and from the airport).

25 % of the allowance covers additional expenses for necessities and local transportation at the destination. The latter includes e.g., transportation to and from the hotel, meeting venue etc. (e.g., by train, bus, or taxi). You may decide the means of transportation, as you will receive a fixed allowance and are not required to document additional expenses.

You are entitled to an hourly/daily allowance on working days, not on e.g., holidays, days off, and weekends, should you choose to extend your journey.

[1] If you get free meals (e.g., breakfast and lunch at the place of examination), your hourly/daily allowance will be reduced.  The rate is evident from the Circular on adjustment of rates for business travel in force at the time in question (in Danish)

[2] Please note that the hourly/daily allowance does not have to cover all your expenses, only additional expenses, e.g., expenses you would not have had to pay if you had stayed at home.

 

 

If you choose to stay at a hotel*, accommodation costs cannot exceed the state hotel accommodation rate, which is DKK 1,448 per night excluding breakfast (2023 rate).
*You are not allowed to book hotels via hotels.com, Momondo etc.

Please note that you must pay for the hotel in connection with checkout. Your accommodation expenses will be reimbursed together with the rest of your travel expenses.

Make sure you receive both a receipt and settlement at checkout. The receipt must be addressed to UCPH and include the following: “KU-Blegdamsvej 3B”. The University does not reimburse receipts addressed to private individuals/addresses.

Private accommodation:
You are entitled to an undocumented night allowance of DKK 246 per night (2024 rate) when your journey has lasted more than 24 hours.
The allowance shall enable you to thank you host for accommodating you. The undocumented night allowance does not cover:

  • Bus, train, air travel etc. at night.
  • Overnight stays in your private holiday home, mobile home etc.

 

 

The University of Copenhagen is a self-governing state institution and thus falls under the rules that apply to the state. As external examiner, you are therefore obliged to abide by the state rules if your expenses are paid for by UCPH.

You must settle your travel expenses no later than two weeks after your return. This will enable us to reimburse you:

Documentation

  • Documentation of travel expenses may include receipts, paid hotel invoices, parkering and Brobizz receipts.

  • Credit card receipts and bank statements are not accepted as documentation of travel expenses, as they do not say what you have purchased (except for bridge toll, parking, and taxis).

  • If you travel by taxi, you must provide the exact pickup and destination addresses.

  • If you have bought a ticket using an app, you must take a screenshot of the ticket and use it as documentation.
